BTK Executive Travels – Booking Terms

Introduction
These Booking Terms form a legally binding agreement between BTK Executive Travels (“we”, “us”, “our”, or “the Company”) and you, the customer or passenger (“you”, “your”).
By accessing or using our booking platforms, website, or services, you confirm that you accept these Terms.
If you do not agree, you may not use our services.
BTK Executive Travels reserves the right to update these Terms at any time.
1. Accounts and Eligibility
1.1 To use our digital booking systems, you must create and maintain an active user account.
You must be at least 18 years old and use a payment method registered in your name.
1.2 You agree to provide accurate and current information including full name, mobile number, email address, and valid payment details.
You are responsible for maintaining confidentiality of your login credentials and for all activity under your account.
1.3 We may contact you via phone, SMS, or email for booking, service, or marketing communications. You may opt out of marketing at any time.
1.4 BTK Executive Travels, as the licensed operator, accepts full responsibility for bookings in compliance with the Private Hire Vehicles (London) (Operators’ Licences) Regulations 2000.
2. Pricing and Payment
2.1 All fares are fixed at the time of booking unless changes are made to the journey (e.g., route, stops, time, vehicle type).
Fares may vary during peak hours (Mon–Fri 06:30–09:00 & 14:30–19:00).
2.2 Quoted fares include one journey between pickup and drop-off points.
Alternative routes, extra stops, or upgrades will result in a fare adjustment.
2.3 Payments can be made by cash, direct bank transfer, or securely online via our website.
Drivers may collect fares on behalf of the Company.
2.4 Airport drop-off surcharges are set by airports and will be added to your fare:
Heathrow T2-T5 – £6
Gatwick North/South – £7
Luton – £8
Stansted – £7
London City – £3.50
2.5 Meet & Greet services (if selected) incur an additional fee to cover parking and driver waiting time.
3. Airport Collections & Waiting Time
3.1 Standard waiting time after flight arrival: 45 minutes (domestic) / 60 minutes (international).
Delays beyond these limits are charged at £0.34 per minute plus any excess parking costs.
3.2 Parking fees are included up to £9. If exceeded, you will pay the difference.
3.3 Example calculation:
Fixed fare £52 + extra waiting (60 mins × £0.34 = £20) + extra parking £6 = £78 total.
3.4 Drivers will meet you only after confirmed contact. Please monitor your phone upon landing.
4. Vehicle Allocation and Capacity
4.1 We will provide at least the class of vehicle booked (Saloon, Estate, MPV, Executive, Luxury).
Exact models may vary.
4.2 If luggage exceeds the capacity of the booked vehicle, an upgrade fee applies.
If you refuse the upgrade, a cancellation fee of 75% of the fare may be charged.
4.3 Vehicle capacity details are displayed on our website; please ensure the vehicle meets your requirements before booking.
5. Waiting Time and Parking
5.1 If you are late for pickup (non-airport), 5 minutes grace is included. After that, waiting is charged at £0.34 per minute.
5.2 Parking charges at non-airport locations are payable by the customer if incurred.
6. Cancellations and Refunds
6.1 Cancellations made more than 4 hours before pickup are free of charge.
6.2 Cancellations within 4 hours of pickup are charged at 100% of the fare.
6.3 Refunds will be processed within up to 21 days depending on payment provider.
